Maintenance Supervisor - Brentwood Place

Job Summary:

Provide superior customer service to all guests and residents. Primary responsibilities include hands-on maintenance of the property and superior property performance in all aspects of maintenance operations.  Through excellent customer service, staff and vendor supervision, ensure that interior and exterior maintenance, capital improvements, purchasing and work place safety is performed according to Mills’ standards.  Performance of the Maintenance Supervisor is measured, in part, by the property’s adherence to the approved annual operating budget.  Effective performance results in satisfactory expense control and enhanced operating results for the property.


Essential Duties and Responsibilities:


  • Identify and interview qualified applicants for open positions for maintenance associates.
  • Schedule work assignments and supervise job performance of maintenance associates.
  • Complete performance reviews, in conjunction with the Property Manager, for all maintenance staff.
  • Exhibit positive attitude during times of change.  Take on new tasks with enthusiasm and energy.
  • Create an atmosphere that fosters teamwork among all property associates.
  • Ensure that maintenance staff is performing to Mills’ standards and that service requests are handled in a prompt, courteous and efficient manner.
  • Duties associated with supervision include: hiring, training, evaluation, disciplinary counseling, etc. of all maintenance associates.
  • Ensure all maintenance staff understands and is trained on safety and protective measures.
  • Maintain open and clear communication with the property staff and Property Manager.  Report on the progress of maintenance work daily.
  • Make recommendations to management regarding improvements for the overall operation of the community.


  • Work with Property Manager in maintaining and monitoring maintenance-related budgeted expenses.
  • Maintain an adequate inventory of maintenance materials and cleaning supplies.
  • Ensure that all invoices and receipts are coded and delivered to the Property Manager on a timely basis for processing.
  • Check deliveries and monitor products and materials supplied to the property to ensure compliance with agreed upon standards and pricing.
  • Operate within the approved annual operating budget.
  • Assist Property Manager in the preparation of annual budget.
  • Assist in the selection of various vendors in regards to value and budget.
  • Ensure all purchases are approved by the property manager prior to purchase.

Customer Service 

  • Maintain an accurate and in-depth knowledge of all aspects of the community, particularly in areas such as vacant apartments, apartment availability and lease expirations.
  • Responsible for attending and assisting in resident relations and community social activities, such as parties and meetings, etc.
  • Strive to continuously meet or exceed resident satisfaction.


  • Assist in identifying life/safety issues and ensure these issues are corrected in a timely manner.
  • Enforce strict compliance with key control policy.
  • Ensure the physical up-keep of the property based on Mills’ standards.
  • Inspect move-outs and determine work needed.
  • Inspect vacant apartments and move-ins for readiness.
  • Monitor maintenance service requests and preventative maintenance work to ensure completion according to Mills’ standards.
  • Review and complete resident service requests on a timely basis.
  • Complete regular property inspections and at least one inspection of all apartments each year.
  • Ensure all smoke detectors and fire extinguishers are inspected annually and deficiencies corrected.
  • Ensure that all A/C filters are replaced annually.
  • Monitor pool operation on a daily basis and maintain the appropriate health department standards.

·         Work with other staff members to maintain curb appeal by inspecting grounds, picking up litter and dealing with service needs.

·         Order and control maintenance inventory as needed in a neat and orderly fashion; maintain and account for all property owned tools and equipment.

·         Monitor the maintenance and up-keep of all mechanical equipment on the community including, but not limited to, water heaters, HVAC equipment, etc.

·         Coordinate, perform back-up and fill-in for on-call emergency service as required.

  • Communicate leased status and service requests to the maintenance staff.  Assign work to be completed to make vacant apartments ready for move-in.
  • Ensure all work areas are cleaned regularly and ensure storage and shop areas remain locked when not in use.
  • In the event of inclement weather, remove snow/ice from all road/walkways on the property and salt (or other method) when necessary for resident/associate safety.
  • Assist in monitoring capital improvement projects.
  • Maintain maintenance shop according to Mills’ Pro Shop standards.


  • Conduct all business according to company policy and all laws pertaining to Fair Housing, Americans with Disabilities, etc.
  • Develop/improve maintenance skill level to benefit the property.  Develop/improve property maintenance staff skill level.

·         Protect the privacy of each resident and their property at all times.

·         Report liabilities, accidents and any unsafe conditions to property manager immediately.

·         Report property damage, property loss, leaks, mold, injury and/or criminal activity or incidents at the property immediately to the property manager.

·         Attend and participate in training seminars and company meetings as requested, including monthly safety meetings.

  • Assist other maintenance associates as needed.
  • Present a professional appearance in accordance with the Mills’ Grooming Guidelines, to include the wearing of uniform apparel and name tag/badge.
  • Perform any other duties as assigned by the Property Manager.


Qualifications and Education:

A high school education or equivalent is required.  At least one year of maintenance experience is required.  Supervisory experience is helpful. Excellent communication and organization skills are necessary.  The associate must also be able to provide the tools required by Mills, prior to the hire date.  The associate must be able to perform all essential duties and responsibilities.


Certificates, Licenses, Registrations:

HVAC and pool certification is required.


Physical Requirements:

While performing the duties of this job the associate is regularly required to talk or hear.  The associate frequently is required to stand, walk, sit and use hands.  The associate is occasionally required to reach with hands and arms, stop, kneel, crouch or crawl.  The associate must frequently lift and/or move 25 pounds or more.  Occasionally the employee may be required to lift more than 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.


Driving Requirements:

Driving is required to perform some responsibilities based on the size of some Mills’ properties.  Driving may also be required to run errands and make trips to the corporate office.  If driving is required a current valid driver’s license, current valid automobile insurance and a good driving record are required.


Working Environment:

To perform the essential duties and responsibilities of this job an associate will be indoors most of the time, but will have frequent exposure to the outdoors in all weather conditions. The noise level in the work environment is usually moderate.



Maintenance Test (must score at least 70%).


Language Skills:

Ability to read and interpret documents such as safety rules, operating and maintenance instruction, and procedure manuals.  Ability to write routine reports and correspondence


Reasoning Ability:

Ability to solve problems involving several concrete variables in standardized situations.  Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
